How we handle personal information.

EqualFrontiers, Inc. ("we", "our", "us") sets out the following Privacy Policy regarding how we handle personal information collected through our websites, the severe-disability home-care service "Helper Station Fair Support", and other services we operate (collectively, the "Services").

This English version is provided for convenience. In case of any conflict between this version and the Japanese original, the Japanese version prevails.

1. Definition of Personal Information

"Personal Information" refers to information about a living individual that can identify the individual by name, date of birth, address, phone number, contact information, or other descriptions, or by an individual identification code, as defined in the Act on the Protection of Personal Information of Japan.

2. Information We Collect and How

We may collect the following information in the course of providing the Services:

  • Information collected via contact forms: name, email address, message content
  • Information necessary to provide severe-disability home-care services: name, address, contact details, date of birth, disability information, benefit decision information, health information, emergency contact, etc.
  • Information related to job applications (Japanese-only): name, contact details, work history, qualifications, etc.

3. Purposes of Use

  • Responding to inquiries and follow-up communication
  • Providing and continuing severe-disability home-care and other services
  • Coordinating with municipalities, care managers, medical institutions, and other parties involved in service delivery
  • Selecting and contacting job applicants
  • Improving our services and developing new ones
  • Responding to lawful requests from authorities

4. Changes to Purposes of Use

We may change the purposes of use only to the extent reasonably related to the original purposes. Notice of any change will be provided through the Services or on our website.

5. Provision to Third Parties

We will not provide Personal Information to third parties without prior consent, except in the following cases:

  • Where required by law
  • Where necessary to protect a person's life, body, or property and obtaining consent is difficult
  • Where particularly necessary for public-health improvement or sound child welfare and obtaining consent is difficult
  • Where cooperation with national/local government bodies (or their agents) for legally prescribed tasks would be impeded by obtaining consent
  • Where, in the course of providing severe-disability home-care or related services, sharing with municipalities, medical institutions, or other involved parties is necessary within an explicitly disclosed scope (consent obtained in advance via the service explanation document)

6. Security Measures

We take reasonable and appropriate organizational, human, physical, and technical measures to prevent leakage, loss, or damage of Personal Information, including staff training, access control, and use of encrypted communication.

7. Disclosure, Correction, and Suspension

Upon request from the individual, we will, after verifying identity, respond within a reasonable timeframe in accordance with applicable law regarding disclosure, correction, addition, deletion, suspension of use, or suspension of provision to third parties of Personal Information. Please contact us via the channel listed in Section 10.

8. Cookies, Analytics, and Third-Party Services

Our website uses cookies (including for CSRF token retention and to remember your cookie-consent choice) for usability and security.

For site analytics, we use Google Analytics 4 (GA4). GA4 collects usage information using cookies and IP addresses, with IP anonymization enabled. Data is processed by Google in accordance with Google's privacy policy.

You can opt out of analytics by any of the following:

  • Use the cookie consent banner (EEA / UK / Switzerland) or notice bar (other regions) at the bottom of the site
  • Disable cookies for this site in your browser settings
  • Install Google's Google Analytics Opt-out Browser Add-on

For visitors from the European Economic Area (EEA), the United Kingdom, and Switzerland, we follow Google Consent Mode v2 and suspend GA4 measurement until the visitor provides explicit consent. For visitors from other regions (e.g., Japan), notice via this Privacy Policy is treated as the basis for processing.

We also use Google reCAPTCHA on form submissions to prevent abuse. Google's privacy policy applies to that use.

8.2 Email Delivery via Third Party

Messages submitted through our contact form are delivered via Resend (Resend Inc., USA). Resend temporarily processes the sender address, recipient, subject, body, and any attachments as required to deliver the message, in accordance with Resend's Privacy Policy.

8.3 Hosting and Data Storage

This site is operated on Google Cloud Platform (USA) using Google App Engine, Cloud Firestore, and Cloud Storage. Personal information is stored and processed on this infrastructure.

9. Changes to This Policy

Except where otherwise required by law, this Policy may be amended without notice. The amended Policy takes effect when posted on this site.
